Is FleetCommander Right for Me?

The term “Fleet Management Software” encompasses everything from motor pool management systems to tire ordering systems. In order to better assist you in finding out if FleetCommander is a good fit for you, the following frequently asked questions and responses are provided.

What is FleetCommander? FleetCommander is a web-based fleet and motor pool management system. The system provides a wide variety of capabilities including on-line vehicle reservations, automatically updating fleet dashboards, dispatcher capabilities, maintenance tracking and reminders, work orders, inspection queues, “prep” (fuel, cleaning, etc.) queues, user/driver profile management, vehicle profile management, car pool, lost & found, automated mileage collection, document repository, imputed income processing, reporting, interfaces to external systems, automatic policy enforcement, and much more! Need something special? We can tailor FleetCommander for you – whether it’s a simple report or a robust vehicle ordering system.

Our niche is optimizing the use of vehicles and staff. We do this by making collection of metrics easy, and subsequently providing dozens of reports that provide you the visibility needed to make day-to-day decisions about your fleet. We’ll rid you of all of that extra paper! Our motor pool tools are second to none.

Am I too small/too big for FleetCommander? FleetCommander is used to manage fleets with as few as 9 vehicles and to manage fleets exceeding 5,000 vehicles. The application is highly configurable as demonstrated by its ability to effectively operate in dozens of sites in the government, commercial, and educational market spaces.

Can FleetCommander manage vehicles and drivers at more than one location? Yes. FleetCommander can manage one site, two sites, or as many sites as you wish. A flexible permission structure lets your drivers have access only to the desired functions at the desired sites. In addition, the permission structure allows you to give Administrative permissions to authorized persons on a site-by-site basis. For example, if I work for a firm with a national presence, I may have “Driver” permissions for Atlanta, Chicago, and Los Angeles. But, I may have Administrative permissions only for the site that I manage – Atlanta.

Can I still use FleetCommander effectively if I already have maintenance/shop software? Yes. FleetCommander has many features that make it easy to use as a stand-alone system, or in conjunction with other systems. FleetCommander can easily be setup to transfer vehicle, driver, and billing information between your other automation systems. For example, FleetCommander customers have weekly downloads from their Human Resource systems, Accounting Systems, and even Risk Management Systems. FleetCommander also interfaces with fleet maintenance systems and other reporting systems. There is no “One Product Fits All” solution for the different aspects of fleet management. If there was, we’d all own it. We strongly believe that it makes sense to leverage the “best of the best”. FleetCommander is the best at optimizing the use of your vehicles and your staff.

If I’ve never had a motor pool, what would it take to start using FleetCommander? Take us up on our offer for a 30-day free trial and you’ll see! You can manually enter your vehicle information into FleetCommander or we can import it from a simple Excel spreadsheet. Your driver information can be imported as well, or you can have your drivers user the automated on-line registration form to get started. And, all that you and your users need is access to the Internet and the Internet Explorer browser. We typically setup trial sites on the 1st and the 15th of each month.

Most organizations transition to FleetCommander by experimenting with their site for a week or two, then go into a mode of running their old (sometimes paper-based) system and FleetCommander in parallel for a month or so. Then, if all looks good, a transition to FleetCommander is done. Once you see the automatically-updating fleet dashboard and all of the utilization reports, you won’t want to go back to the old way.

Does FleetCommander have capabilities to manage permanently assigned vehicles? Yes. Tools such as the mileage collection tool, trip reporting tools, and the maintenance functions all help manage permanently assigned vehicles. Reports such as the Aging By Miles and Aging By Time report help monitor usage and plan for vehicle replacement. Need to know when vehicles are scheduled to be replaced? FleetCommander’s dashboard will remind you automatically when leases are up or assignments are due to be renewed.

What expertise is required to install and manage FleetCommander? Absolutely none. If you desire, we can host FleetCommander. That means that all you need is a computer with Internet Explorer. If you prefer to host the FleetCommander application yourself, you are more than welcome to. FleetCommander installs within minutes.
