Fleet Metrics: Missing Miles
It’s like finding lost money!
A motor pool is a business. Fleet managers provide vehicles and services. Ultimately, drivers or their associated organization pay for those vehicles and services. That is, unless no one knows the services were ever provided! When miles are driven but not recorded, the fleet loses. Fortunately, there are metrics such as the “Missing Miles” metric that can be analyzed to find out who is ultimately responsible for the services provided by the fleet.
On-line fleet software such as Agile’s FleetCommander includes a Missing Miles report. With the click of a mouse, the Missing Mileage report quickly identifies gaps in reported mileage and also provides:
- The name of the vehicle in question
- Information about use of the vehicle prior to the missing miles
- Information about the use of the vehicle after the missing miles
In the example below, 238 miles were not reported. This occurred after vehicle reservation #103613 and prior to vehicle reservation #103670. Armed with this information, fleet staff can identify who was provided access to the vehicle between these two uses of the vehicle.

Quite often, the occurrence of missing mileage is not due to malicious intentions. Most often, missing mileage occurs because paperwork was not turned in or a busy fleet person neglected to record a trip. In fact, one organization using the Missing Mileage report found that nearly 40% of trips were not being recorded in their system. It happens more often than you might think!
It is a good practice to run a report such as the Missing Mileage Report prior to each billing cycle. Work through each case of missing mileage to ensure you are recouping all of your well-deserved charges from fleet drivers.
