Vincennes University Fleet Rolls Out Motor Pool Automation

Fleet utilization data gives procurement officials  visibility needed for purchasing decisions

CHANTILLY, VA, April 2, 2015 -- Vincennes University has successfully automated the management of its fleet and motor pool operations. University officials report positive feedback from fleet drivers who are now able to make reservations online via FleetCommander fleet and motor pool software. The announcement was made today by FleetCommander creator Agile Access Control, Inc. (Agile).

"As Director of Procurement, it's crucial for me to have the data I need to determine whether or not we need to replace or add more vehicles to our motor pool. With FleetCommander, I am able to clearly see what is needed based on utilization statistics. That enables us to make good procurement decisions and save the university a lot of money," says Michael Morrison, Vincennes University Director of Procurement.

Vincennes's 232-vehicle fleet includes a shared pool of 30 vehicles, 70 assigned vehicles, as well as shared buses, trucks, vans, trailers, forklifts, mowers, and golf carts. They also keep a small number of vehicles in Jasper, at the Indiana Airport, and in Indianapolis. All of these vehicles, plus the maintenance of campus police vehicles, are now managed via FleetCommander from one central location at Vincennes University fleet office in Indiana.

University fleet managers can monitor their fleet and motor pool status online via a dashboard on their own fleet web site. The FleetCommander dashboard, which updates every five minutes, enables Vincennes fleet staff to review, assign vehicles, and approve requests quickly online, while confirmation emails are sent automatically.

Vincennes fleet managers can also:

  • Review vehicle request status 24 x 7 online
  • Receive instant notification of late-returning vehicles
  • Enforce fleet policies automatically
  • Eliminate paper processes and save staff time by keeping track of who made, approved, changed, or deleted vehicle requests online via FleetCommander
  • Collect metrics from all phases of vehicle use
  • Use vehicle utilization reports to right-size their fleet size and composition
  • Save money by eliminating vehicles that FleetCommander utilization data shows are not needed
  • Keep track of drivers and assigned vehicles
  • Manage preventative maintenance of vehicles via the FleetCommander Maintenance module
  • Run reports and do billing at the touch of a button

"We are pleased to welcome Vincennes University to our growing family of universities automating their fleets with FleetCommander technologies. Our product is perfectly suited for the university fleet market, where it is especially important to have flexibility in vehicle scheduling and budgets are tight. We are proud to have been selected to help them achieve their goals," says Ed Smith, president and CEO of Agile.
